Exhibitor Frequently Asked Questions Date and Event Changes for 2010 Golf Industry Show

 

Q: I understand the dates for the education conferences and trade show will change beginning in 2010. What are the dates of the trade show?

The trade show will open on Wednesday, Feb. 10 following a Combined General Session (from 8-9 a.m.) for all audiences, including exhibitors.  The trade show will continue on Thursday, Feb. 11 following another Combined General Session (from 8-9 a.m.) and will end with a Show Floor Happy Hour (from 4-6 p.m.), both of which exhibitors are encouraged to attend.  The trade show will be open from 7 - 9 a.m. for the Distributor Preview and from 9 a.m. - 6 p.m. for all attendees on Wednesday and from 9 a.m. - 5 p.m. for all attendees on Thursday, with virtually no competing events on either day.

Q: When are the education conferences?

The GCSAA Education Conference, NGCOA Annual Conference and CMAA World Conference on Club Management will be held Monday, Feb. 8; Tuesday, Feb. 9; Friday, Feb. 12; and Saturday, Feb. 13.

Q: Why has the schedule been adjusted?

For exhibitors, the adjusted schedule means focused trade show only time for our attendee groups for two solid days with virtually no competing events.  The adjusted schedule will allow attendees to focus almost exclusively on the Golf Industry Show on Wednesday and Thursday. For NGCOA and GCSAA attendees, it will also allow them to return to their facilities and their families in time for the weekend. Additionally, all audiences will have very similar arrival and departure patterns, truly bringing them together under one roof for the Wednesday and Thursday trade show.  Finally, the schedule now allows for exhibitors to attend the Combined General Sessions each morning and Show Floor Happy Hour following the second day of the GIS. These are new, exclusive networking opportunities for our exhibitors.

The decision was made based upon attendee and exhibitor survey feedback.  We enlisted the consultation of Steven Hacker, CAE, President of the International Association for Exhibitions and Events (IAEE) and of Skip Cox, President/CEO of Exhibit Surveys, Inc.  The new schedule of events represents a maturing of the Golf Industry Show based upon our success.  We are always evaluating our event for opportunities to enhance the experience for attendees and exhibitors.

Q: How will the new schedule impact attendee traffic on the show floor?

Traffic density will be much higher.  There will be virtually no competing events of any kind during all trade show hours, allowing attendees to conduct business on the show floor all day Wednesday and Thursday with minimal interruptions. Higher traffic density means more attendees on the show floor for longer periods of time.

Q: How will the new schedule impact me financially?

Exhibitors should see some savings on housing and food/beverage expenses because the number of days that your staff will be away for the Golf Industry Show will be reduced by at least one day.

Q: How much more will labor cost for move-in and move-out?

San Diego traditionally means higher labor rates.  Please budget accordingly.  If you traditionally begin move in on Monday, you will now be moving in on a weekend. However, move out for all exhibitors will now take place on a week day.  If you will be moving in on a weekend, please anticipate overtime and/or double time labor rates.  These costs should be offset by the elimination of a weekend move-out day, and by at least one fewer hotel night (including incidentals such as food and beverage, entertainment, etc.) for all booth personnel.  Many exhibitors will not be moving in or out on a weekend.

Q: Are there overtime or double time labor rates associated with Sunday move-in?

Yes, the labor rate system will operate as it has in the past.  Double time rates will apply all day Sunday.

Q: What are the opening events on Wednesday and Thursday?

Attendees and exhibitors are invited to attend the exciting Combined General Sessions before the trade show opens on Wednesday and Thursday mornings.  This is an exclusive opportunity to exhibitors to network with customers.  More details will be communicated in the coming months.

Q: What is the Show Floor Happy Hour on Thursday evening?

The Show Floor Happy Hour will be a celebration of the show just completed and a preview of the next year's event.  Exhibitors are invited to network with attendees at the Show Floor Happy Hour on Thursday evening (Feb. 11).  Enjoy the festivities with your customers on Thursday evening, and move-out will resume the following morning.  More details will be communicated in the coming months.

Q: When can I begin move-out?

Move-out will begin on Thursday, Feb. 11 at the close of the show at 6:30 p.m. with the removal of aisle carpet, return of empty crates and the exiting of roll stock from the trade show floor.  All roll stock must be removed from the show floor on Thursday evening at the close of the show.  All teardown and move-out will resume on Friday morning (Feb. 12) at 8 a.m.  All aisle carpet will be removed from the hall and all empty crates will be returned and waiting for you in your booth.

Move out must be complete by 5 p.m. Friday (Feb. 12).

Q: Is drayage (or material handling) still included in the cost of my booth?

Yes, Golf Industry Show management will continue to cover show site material handling for exhibitors.

Q: How does the new schedule impact my travel/staffing?

For most exhibitors, the new schedule will mean fewer nights in the host city for some or all of your exhibit staff/booth personnel, which will equal a cost savings on housing, food and beverage and entertainment.
